How timeboxing works in 3 easy steps

Step 1.

Decide what to do

To-Do List #1 includes your top three most important tasks for the day. To-Do List #2 is for smaller, supporting tasks. This ensures focus on high-priority items while keeping track of everything else.

Step 2.

Timebox the Important Tasks First

Allocate specific time slots for your top three tasks first to ensure they get the attention they deserve. Include short breaks to maintain productivity and avoid burnout. Then, use time allocation to assign shorter time blocks for the smaller tasks to ensure they also get completed.

Step 3.

Get It Done, Check Off Tasks and Reflect

Focus on completing each task within its assigned time slot, maintaining discipline and efficiency. Check off tasks as you accomplish them to track your progress. At the end of the day, reflect on what went well and identify areas for improvement. Use these insights to adjust and optimize your schedule for the next day.

I've been using this planner for about a month, and it’s really helped me organize my days better. The best part is how it lets me prioritize my top three tasks and then fit in the smaller stuff. My only gripe is I wish it had a bit more space for notes. But overall, it’s made a huge difference in how I manage my time and reduce stress. Definitely recommend it for anyone who likes structure!

I've used a few day planner types of things, but the "time boxing" idea behind this had me intrigued. The actual process is quite simple and not as comlicated as I feared. There are to do lists (yay!) and also planninng for longer term goals, and the centerpiece is a simple idea: A box to plan how long to spend on things. This is not quite a calendar and not quite a to do list. It's an odd combinatio of the two, and I like it. It isn't meant (I think) to be a hard coded "do this at this time" but more of a "this will take this much time so prepare this to do for when you have time to do it." It's working for me.

Drop down arrow which shows FAQ answer

Timeboxing and time blocking are similar time management techniques but differ in their application. Timeboxing involves setting a fixed timeframe for each task, creating a sense of urgency and focus. It emphasizes completing tasks within the set period, regardless of whether they are finished. Time blocking, on the other hand, involves dedicating specific periods to categories of tasks or activities, such as meetings, deep work, or personal time, but without the strict focus on completing each task within that block. Time blocking is more about ensuring that each type of task gets adequate time, while timeboxing is about creating efficiency and urgency for individual tasks.
